Important University Village Closing Information
We recognize that students in the University Village have many unique circumstances and contract periods. Please carefully read the following information to find the information that pertains to you and follow the instructions provided. If you have any questions, please stop by the University Village Leasing Office and ask one of our staff members for assistance.
Extensions in Buildings 5-10
Your Extension
If you sign up for an extension, you can stay in your apartment between August 1 and August 15. The cost for that time period is $350. Please know that since you will not be leaving your apartment at any point, your bedroom will not be cleaned by our staff.
Check-Out
Even though you are coming back to the same space, you must go through our check-out process so your room can be inspected by our staff before July 31 at 10AM. Below is a description of your check-out process.
Standard Check-Out
A standard check-out is when you pre-schedule a time with a staff member in your complex. That staff member will come to your room and complete your Room Condition Report in your presence. You will be able to discuss any damage charges associated with your room and ensure you have completed all necessary paperwork. Just make sure you sign up for an appointment in the Village Leasing Office. Check-Out appointments will be available between the dates of Monday, July 27 and Thursday, July 30, 2009 from noon - 7pm. If you don't sign up for a check-out time with a staff member, please know that your room will be checked for damages without you being present.
Check-In
To check-in to your room for the 2009-10 year, all you have to do is update your paperwork with the University Village Leasing Office. More info about the times and dates of when you can update your paperwork will be coming soon.
In order to clear mailboxes as we start new contract periods, during the dates of August 1-14, there will be no direct delivery to the entire University Village Complex. Mail will come directly to the Virginia House for sorting and then be forwarded to the Leasing Office. From there, you will receive an email when you have mail at the Leasing Office.
Move-Outs in Buildings 3-10 (Checking Out of Current Space or Not Requesting an Extension)
Check-Out
Your contract will end on July 31 at 10AM. You must be out of your space by that time. You have two options when it comes to checking out of your room:
Standard Check-Out
A standard check-out is when you pre-schedule a time with a staff member in your complex. That staff member will come to your room and complete your Room Condition Report in your presence. You will be able to discuss any damage charges associated with your room and ensure you have completed all necessary paperwork. Just make sure you sign up for an appointment in the Village Leasing Office. You must have all belongings out of your room by the time of your scheduled appointment. Check-Out appointments will be available between the dates of Monday, July 27 and Thursday, July 30, 2009 from noon - 7pm.
Express Check-Out
We realize that some students may need to check-out of their housing assignment in a hurry or at an odd time, so we give students the option of an express check-out. Simply go to the Village Leasing Office, fill out the Express Check-Out Form, turn in your room key, and you are done. Completion of your Room Condition Report will occur after your departure by a staff member. Students who choose an express check-out waive their ability to appeal any damage charges. The University Village Leasing Office is open from 9AM-11PM Monday-Sunday. If you cannot complete an express check-out during those hours, you can put your express check-out form and key in the drop box by the front door of the Leasing Office at your own risk.
December 2009 Graduates Moving to Powhatan for fall 2009
If you are a December 2009 graduate who will be moving to Powhatan for the fall semester, please be aware of the following:
Agreements for University Village Buildings 3-10 end at 10AM on July 31, 2009. New agreements for Powhatan begin until August 1, 2009. We would like to make your transition between buildings as smooth as possible. If you have been assigned to Powhatan for the fall 2009 semester, you will be able to move in on July 31, 2009. To do this, you must fill out an Early Arrival Request by going to http://studentaffairs.odu.edu/housing/. First, click on the Forms and Publications link. Then, click on the Early Arrival Information link under the Publications heading. The link for the Early Arrival Dabatase will be about half way down the page. Your request to move into Powhatan on July 31, 2009 should be completed by July 27, 2009. For those who have completed their Early Arrival Request by July 27, 2009, you would pick up your Powhatan key from the Front Desk/Leasing Office at University Village at the time of your checking out of University Village on July 31, 2009.

Squatters (Those Who Are Returning To Current Apartment for the '09-'10 Academic Year) in Buildings 3-4
Your Transition
Since there is no time between the end of your current contract and the beginning of your new one for next year, you do not have to worry about filing for an extension or moving out of your apartment. However, please know that since you will not be leaving your apartment at any point, your bedroom will not be cleaned by our staff.

Signing up for an Extension
You can sign up for an extension through an email that you should have received from an ODU staff member named Jeanette Dias. Follow the instructions in that email so you can stay in your current apartment between August 1 and August 15. No partial extensions will be granted, therefore, the cost for that time period is $350. Please know that if you sign up for an extension, your bedroom will not be cleaned by our staff. Please be aware that if you do not sign up for an extension you must completely vacate your room by 10AM on July 31, 2009. If you fail to remove all of your belongings from your room by that time, you will be charged the full $350 extension fee.
